Foundation Administrative Assistant

The candidate shall be a follower of Jesus Christ who is in full agreement with Lincoln Christian School’s Statement of Faith and is passionate about the mission and vision of Lincoln Christian School. The candidate should be an organized, servant-hearted, detail-oriented individual who is a team player, able to multitask, and handle confidential information. This position is an hourly position up to 25 hours per week. Flexible schedule during summer, Christmas, and school breaks.
Primary Function: Provide comprehensive administrative support to the Lincoln Christian School Foundation Team (Mark, Stacey, Jacklyn, and Jesica). Give administrative support throughout the year to ensure smooth and efficient events. Keep Jesus Christ, as well as the school and foundation mission statements, at the center of the responsibilities listed below.
Responsibilities:
- Serve as the front-desk representative, professionally greeting visitors, students, vendors, and school supporters during school hours, providing business office coverage during typical school hours (8:00 AM – 3:15 PM) three and a half days a week. Schedule and train volunteers to cover the business office anytime you are not available or sick, this may include scheduling with office partners to help cover by answering phones and greeting guests.
- Provide office coverage during the summer break from 9:00 AM-1:00 PM, Monday through Thursday. Coverage during Christmas and Easter breaks will be flexible and only as needed basis.
- Assist the Director of Stewardship with setting up appointments with supporters.
- Assist the Assistant Director of Stewardship and Events Coordinator as needed.
- Prepare, format, and proofread foundation documents, reports, letters, and email correspondence.
- Administer the Scrip program: including ordering, securing inventory, and intentional solicitations three times a year (Back to School, Christmas, and Graduation).
- Answer, screen, and direct incoming phone calls, manage general voicemail, and respond to emails and texts.
- Manage the Foundation calendar, schedule LCSF team and board meetings, and coordinate all facility reservations.
- Process incoming and outgoing mailings, packages, and deliveries, including the Crusader Newsletter, Grandparents’ Day Save the Date, Gala/Auction Invitation, Christmas Thank You, and alumni onesies.
- Maintain an organized, clean, and professional office space and storage closet.
- Order and restock business office supplies.
- Create all Virtuous queries, reports, and lists, and manage and update these lists for both the Director and Assistant Director of Stewardship.
- Compile alumni information for upcoming alumni events and reunions.
- Create the annual composite of the graduating class and monitor the alumni display boards.
- Create and manage a list of past corporate sponsors and prospective corporate sponsors to assist in the solicitation of sponsorships.
- Create automation systems within Virtuous as requested.
- Monitor AI and deploy new technologies that will make both the team and calendar events more efficient and effective.
Performance Expectations:
- Attend all meetings and events as required.
- Maintain and become familiar with the capabilities of the development software programs, Virtuous, FACTS, and Greater Giving.
- Meet with the Director of Stewardship twice a month.
- Meet with the Stewardship Team twice a month.
- Maintain confidentiality of sensitive information at all times
- Other duties as assigned.
Position Specifics:
- Hourly position 25 hours per week from August 1 to May 31.
- Hourly position up to 16 hours per week from June 1 to July 31. (9:00 AM-1:00 PM)
- Flexible schedule during Fall, Christmas, and Easter breaks.
- Currently, no health insurance or tuition remission benefits are attached to this position.
